Who we are and what this covers

Effective Date: 10/14/2026

We collect only what we need to answer you, serve you, and keep you informed, and we never sell your information. That’s the short version. The rest of this page explains the details in plain English.

This website is operated by Intelligent Network and Communication Systems (I.N.C. Systems), LLC, a Michigan limited liability company doing business as INC Systems (“INC Systems,” “we,” “us,” or “our”).

This Privacy Policy covers:

  • Our website, inc-systems.com, and every form on it
  • Our email newsletter
  • Our Client Support text messaging line

It does not cover the data we access or manage inside a client’s systems while providing IT services. That is governed by each client’s written service agreement, as explained in the section on client data below.

Information we collect

We collect two kinds of information: what you choose to give us, and basic technical details your browser shares automatically.

What you give us. Each form asks only for what we need to follow up:

Where What we collect
Contact and Request an Evaluation Name, company, email, phone, the service you’re interested in, and your message
“Ruf”erral Program Your name, company, email, and phone, plus the name, company, email, and phone of the person you’re referring
The Lone IT Guy ebook Name, email, company, and optionally your phone, website, and a message
Newsletter sign-up Email address, and optionally your first and last name
Review Us Your star rating, name, email, subject, and any comments
Client Support text line Your mobile number, your messages, and any photos you send us
Email or phone calls Whatever you choose to share with us

Job applications are submitted through ZipRecruiter and are handled under ZipRecruiter’s own privacy policy, along with ours once they reach us.

What’s collected automatically. When you visit our site, your browser shares things like your IP address, browser and device type, the pages you view, how long you stay, and the site that sent you here. We collect this through cookies and Google Analytics, explained in the cookies section below. We use it to understand how the site is used, not to identify you personally.

How we use your information

We use your information to respond to you and to run our business, and for nothing you wouldn’t expect. Specifically, we use it to:

  • Answer your questions and schedule evaluations or consultations
  • Provide technical support to existing clients, including by text message
  • Send the ebook or other resources you request
  • Send our newsletter, if you signed up for it
  • Follow up on referrals and send referral rewards or charitable donations
  • Learn from your feedback so we can do better
  • Understand how our website is used so we can improve it
  • Protect our website and forms from spam, fraud, and abuse
  • Meet our legal, tax, and accounting obligations

When you request a resource or an evaluation, we may follow up by email or phone about our services. You can ask us to stop at any time.

Text messaging (SMS)

We use text messages only to help existing clients with support requests, and we never share your mobile information for marketing.

Our program, INC Systems Client Support Messaging, works like this:

  • Existing clients and their authorized contacts text us at 213.8802 to report an issue.
  • We only reply. We never send the first message, and we never send marketing or promotional texts.
  • Message frequency varies with how often you contact us. Message and data rates may apply.
  • Reply STOP at any time to opt out, or HELP for help. You can also call 810-213-2100 or email info@inc-systems.com.

Information collected through text messaging (your mobile number, messages, and photos) is used only to provide the support you asked for.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.Information sharing with subcontractors in support services, such as the provider that delivers our text messages, is permitted. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

The full program terms are in our Terms of Use, section 8.

How we share information

We do not sell, rent, or trade your personal information, period. We share it only in these limited situations:

  • With the companies that help us run our business. This includes our website host and web design firm, our email and newsletter platform, our ticketing and customer management system, our text messaging provider, and Google (for website analytics and spam protection). They may use your information only to provide their service to us.
  • With the person you referred. If you use our “Ruf”erral Program, we will let your contact know you referred them, since that’s how a warm introduction works.
  • When the law requires it. We may share information to comply with a subpoena, court order, or other legal process, or to protect the rights, property, or safety of INC Systems, our clients, or others.
  • If our business changes hands. If INC Systems is involved in a merger, acquisition, or sale of assets, your information may transfer to the new owner, and this policy will continue to protect it.
  • With your permission. For anything else, we’ll ask first.

Cookies, analytics, and embedded content

We use a small number of cookies to keep the site working, measure how it’s used, and block spam. Cookies are small files your browser stores when you visit a website.

  • Google Analytics tells us which pages people visit and how they found us. Google’s use of this data is covered by Google’s Privacy Policy. You can opt out with the Google Analytics Opt-out Browser Add-on.
  • Google reCAPTCHA protects our forms from spam bots. It collects hardware and software information and sends it to Google, under Google’s Privacy Policy and Terms of Service.
  • Embedded videos and content from sites like YouTube behave as if you visited that site directly, and may set their own cookies.

You can block or delete cookies in your browser settings. The site will still work, though some features, like our forms, may not. We do not currently respond to browser “Do Not Track” signals, because no common standard exists for them.

Your choices

You’re in control of your information, and asking us to change or delete it is as simple as sending an email.

  • Stop emails. Click “unsubscribe” at the bottom of any newsletter or marketing email.
  • Stop texts. Reply STOP to any message from our support line.
  • See, fix, or delete your information. Email info@inc-systems.com or call 810-213-2100 and tell us what you’d like. We’ll confirm who you are and respond within 30 days. We may keep certain records we’re required to hold for legal, tax, or security reasons.
  • If someone referred you to us. If a friend or colleague gave us your contact information and you’d rather not hear from us, just let us know and we’ll remove you.

We will never treat you differently for exercising any of these choices.

Security and how long we keep information

We protect your information with the same kinds of safeguards we put in place for our clients. That includes encrypted website connections, multi-factor authentication on our business systems, and access limited to the people who need it to do their jobs.

No system is perfectly secure, so please don’t send passwords, multi-factor codes, credit card numbers, Social Security numbers, or health information through our website forms, email, or text messages. If we ever need sensitive information from you, we’ll give you a secure way to send it.

We keep information only as long as we need it:

  • Inquiries and ebook requests: as long as we’re in conversation, and for a reasonable period after so we have the history if you reach back out
  • Newsletter subscribers: until you unsubscribe
  • Client and billing records: as long as you’re a client, and afterward as required by law, tax, or contract
  • Text messages: as long as needed to support you and keep an accurate record of opt-ins and opt-outs

When we no longer need information, we delete it or make it anonymous.

Client data we manage

The information inside our clients’ computers, servers, email, and phone systems belongs to our clients, and we handle it under their written service agreements, not this policy.

As a managed IT provider, our team may see or work with a client’s files, email, and user accounts while monitoring, supporting, backing up, or securing their systems. We access that information only to deliver the services the client has asked for. We never use it for our own marketing, and we never sell it.

The same applies to our client help desk portal and phone services. If you’re a client and have questions about how your organization’s data is handled, contact your INC Systems account team or review your service agreement. Where this policy and a signed agreement differ, the signed agreement controls.

The fine print, kept short

Children. Our website and services are for businesses and nonprofits. We don’t knowingly collect information from anyone under 16. If you think a child has sent us information, let us know and we’ll delete it.

Other websites. Our site links to other websites, like Google, YouTube, LinkedIn, and our community partners. We’re not responsible for their privacy practices, so please review their policies.

Changes to this policy. We may update this policy as our website and services change. When we do, we’ll post the new version here with a new effective date. If we make a significant change, we’ll make it obvious on our website.
